Your enquiry, your information.
How the club uses information you share through this website.
Website enquiry notice · Approved 2 November 2026
Who is responsible
Bowmen of the Deans Archery Club is responsible for the information you provide in a website enquiry. Contact [email protected] about your information or this notice.
Information and purpose
We use your name, email address, enquiry type, message and any participant numbers or ages you provide to answer your enquiry and arrange the session or visit you request. We do not use the enquiry form to collect payment or create a member account. Please do not include medical information or other sensitive personal details; email us to arrange an appropriate way to discuss support needs.
Our lawful basis is our legitimate interest in responding to enquiries and organising club activities. We use the information needed for this purpose and do not add you to marketing lists. You may object to this use by contacting us. Giving the requested contact details is necessary if you want a reply through the form; you may contact the club by email instead.
Services and access
Cloudflare hosts and protects the website. Its Turnstile service processes technical information about your device and connection to distinguish visitors from automated traffic. Resend delivers the enquiry email to the club's Gmail inbox, operated by Google. Club volunteers who need to answer or manage enquiries can access relevant messages. We do not sell your information.
The form endpoint does not keep a separate database of enquiries or deliberately log message bodies. Hosting, security and email providers process service and security logs. Resend states that email and log data is retained for 30 days on its Free plan. Its Ireland sending region does not mean all information stays in Ireland: Resend stores data in the United States. Our cloud suppliers may process information outside the UK. Their processing terms describe applicable transfer safeguards; Resend's DPA includes standard contractual clauses with a UK addendum. You can ask us about the safeguards relevant to your enquiry.
Retention
We delete routine enquiry correspondence from club-managed storage within 12 months of the last contact, unless it is still needed for an ongoing request, agreed activity, complaint or legal requirement. If an enquiry becomes a membership, booking, safety or safeguarding record, the relevant club retention arrangements apply instead. Chris oversees periodic mailbox review and deletion.
Your rights
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, object to processing, or request a portable copy where that right applies. Contact the club at [email protected]. You can also complain to the Information Commissioner's Office at Information Commissioner’s Office complaints.
Provider information
No advertising or visitor analytics have been added to this website. Enquiry messages are not used for automated decisions about membership or confirmed places. A volunteer confirms arrangements.
Wider club privacy notice
The separate proposed 2026 club privacy notice (PDF) covers wider club records and still awaits committee approval.
